Folders are an excellent way to share applications with your team and external reviewers. An external reviewer can be anyone you need to see a shortlist of your applicants. They can be judges for competitions, adjudicators, or even a broadcaster for a shortlist of applicants for a show.
To create a folder, go to the "folders" tab and click on the "create" button.
After creating a folder, you have the option to give it a name of your choice. You can also control the access to the folder by restricting certain functions such as allowing others to add applications and making details visible to the person reviewing. Additionally, you can choose what information to make available in the folder.
- Allow/Block other users from accessing/editing your folder
- Set to receive an email every time an application in the folder is submitted
- Show the applicants details - If this box is unchecked, each application in this folder will have its email address and phone number hidden. This includes the answers to default questions.
- Show candidates name - If this box is unchecked, each applicant in this folder will have their full name reduced to its initial, for every user of this folder. This includes the answers to default questions.
- Enable tags
- Enable filters
- Hide application form- In the case where the office use only form is needed to be seen
- Hide office use only form
- Hide attachments
Managing Folders
Action Buttons
Located on the Main Folders page, these buttons allow you to manage your folders.
- Share the folder: A list of available users opens up, and you can select with whom you would like the folder shared with: team leaders, team members, or external reviewers. An email is sent to inform the user that a folder has been made available to them.
You can make changes to the permissions for each of the team members/external reviewers once you have added them.
Once a folder is shared, the external reviewer or team member will receive a notification alerting them that they have been added to a folder.
- The Edit button reopens the folder setup dialog box- You can make changes to your folder in the this section. You can change the folder name, privacy settings, and other details. You can also choose to allow or restrict team members from adding applications to the folder. If you want to restrict contact details from your external reviewers, you can choose to hide the email address and phone question options. You can also choose to hide tags and candidate names from your team members.
- The Tags button allows you to add applications by tag.
Once you have selected which application you are adding, another dialog box opens up where you can select the appropriate tags
- The Attachments button opens up the Attachments dialog box where attachments can be added to the folder. Example: scoring guides
- The information button shows any relevant information about the folder. Who made the folder, who has access, and with whom it is shared.
- The delete button can be used to remove the folder. Note - Once you have deleted a folder, this cannot be undone.
