To assign a client to a mentor, you would need to go to the form, then click on completed applications
Select the Client by clicking on the view button.
The mentoring Tab has three sub tabs
Manage
This is where a mentor is selected and assigned to the client. The details of their assignment are:
- The minimum number of hours that the mentor must spend with the applicant
- The minimum number of visits that the mentor must make to the applicant
- The date by which the mentoring assignment should be completed
- Mentoring Type: There are two types of mentoring available, free or paid. A paid mentoring arrangement is a two step process, first of all a mentor is assigned, then the applicant must confirm payment. Emails are sent to both the applicant and the mentor at all stages of this process. Please note that the presence of free or paid is dependent on the form settings. It may not appear here if disabled.
- Purchase Order Number: This is only required for paid mentoring arrangements, and can be added to the assignment at a later date if necessary.
To assign a mentor, the relevant above details must be entered and then the green assigned button must be clicked.
Once a mentor is assigned to an application, the mentor can sign in to view the assigned application and the associated mentoring data. The following emails are triggered:
1. For assignments involving Free Mentoring, the following emails are sent:
a. Mentor Assigned (Free Mentoring Programme) - Mentor Notification
b. Mentor Assigned (Free Mentoring Programme) - Applicant Notification
2. For assignments involving Paid Mentoring, the following emails are sent:
a. Mentor Assigned (Paid Mentoring Programme) - Mentor Notification
b. Mentor Assigned (Paid Mentoring Programme) - Applicant Notification
For free assignments, the email content should provide sufficient information for both parties to initiate the assignment. For paid mentoring assignments, the client should be directed to the payment page. Once payment has been received, the assignment can be marked as paid, which will trigger the following emails:
- Mentoring Paid - Applicant Notification
- Mentoring Paid - Mentor Notification
These emails should contain adequate information for both parties to commence the assignment.
