The "Our office use only" form feature is an additional form that can be created within your application form. This form serves as an executive summary that you and your administration team can fill out about the submitted application.
The "Our office use only" form can be utilized in various ways, such as aiding in your reviewing and screening processes, serving as an executive summary, or acting as a script for a second application stage, like a phone interview.
How do I enable the Summary form?
On the Admin Dashboard, select “Forms”.
Click on ‘options" and then click "edit" to access the form settings:
You can activate office use only by navigating to the settings section and selecting the option under general.
How do I create my Office-Use Only Form?
To create an Office-Use Only Form, you can follow the same process as creating your application form. You can refer to our article here to learn how to create an application form. The only difference is that instead of building the summary form in the Questions tab, you need to use the "Office-Use Only" tab.
We have two additional question types you can use on your Summary form:
-
Existing Answer: Import a question with the applicant’s given answer from their application form into the summary form.
-
Registration Details: Import the applicant’s first name, last name or email they’ve provided at registration in the form.
How do I fill in my Office-use Only Form?
Filling out the Office-Use questions is easy. First, let's go to the candidate’s application whose summary form you want to fill out. You can then click on the Office-use Only tab at the top of the screen. You can then click edit to fill in the information.
Once you click edit, you will be redirected to a new screen with the summary form ready to be filled out - this view is similar to what your applicants see when they fill out the application form. Our questions will appear on the right-hand side and along the bottom, we have 3 settings:
-
Save icon - Save the progress so far.
-
Save and Quit - Save and quit the summary form.
