When you send messages from the platform, your name is automatically added to any email correspondence that goes out. If you would prefer your name not to appear, you can set an email alias instead. Once enabled, your alias is used in place of your name on every email you send from the platform.
Setting your email alias
Click the avatar in the top right-hand corner of the screen, then select My Account.
In My Account, open the Identification tab and Toggle on Use Alias for Outgoing Emails.
Click the Outgoing Email Alias field and enter the alias you would like to use — for example, “The Team at Submit”.
Note: The alias must be plain text, not an actual email address. If you switch the toggle on but leave this field blank, your real details may be revealed.
Click Save. Your alias will now be used instead of your name on each email you send out from the platform.

Other ways to reach the Identification section
Going through My Account is not the only way to reach this section.
- From a bulk message: when sending a bulk message, click the My Account link within the message window (highlighted in blue). This takes you straight to the Identification section.
- From an applicant’s messaging section: open an applicant’s Messages, then click New to compose a message or email. You can reach the Identification tab under My Account from the compose window too (the “HERE” link).
A note on testing
Please note: If you test this by sending an email to your own system account, your own email address will still show on the sent email. To see the alias populate correctly, create a candidate account for testing and send the email to that account instead.
