Note: Inviting applicants to the next phase is permission-based. So if you do not see any of the below on your screen, please reach out to your Team Leader to have them enable that within your account permissions.
Inviting Applicants
To invite any applicants to the next phase of your form, all you need to do is navigate to the application that they last submitted. From there, if you click on the invite button, a new pop-up or a modal will appear.
Within that pop-up, you can select which phase you would like to add the applicant to. Give your invitation a subject line, Adjust the template message to the applicant and add attachments.
Once your invitation has been configured in a way that you require, you just need to send the invitation.
When the invitation is sent, the invite button turns green and changes to “Invited”.
The applicant will now receive an email with a link for the next phase of their application.
The applicant will also show up on the pending invitations list for the next phase. From here it is possible to resend the invitation if you need to.
Note: The applicant will remain on this list until they have accessed the link logged in and started their application for the next phase. Once they have done this, their application will show as in draft on the next phase of the application.
Revoking the Invitation
Sometimes, you may need to revoke a sent invitation, either due to an error or because the applicant is no longer suitable. To do this, go to the initial stage from which they were invited. Click the "invited" button, and a modal will open, allowing you to revoke the invitation. You can also send the applicant a message informing them of the revocation.
Note: This will be a system email that can not be edited. So you may need to reach out to the applicant separately with an explanation as to why their invitation was revoked.
