Profiles, along with the associated profile questions, serve as a vital tool for collecting applicant data that can be used throughout various stages of the application process particularly in applications that use multiple phases.
This approach significantly reduces the need to request the same information from applicants multiple times. Furthermore, the data gathered through profiles can be drawn upon within the smart builder feature, allowing for the creation of a tailored and personalised set of questions specifically designed for each applicant.
Applicants have the ability to establish their profiles upon logging in, which allows them to present their information seamlessly. The profile questions themselves are created by a Team Leader and can be used across multiple forms. Commonly selected profile questions include essential details such as name, email, and name of the organisation that is applying.
In instances where an applicant is applying on multiple forms, they have the option to create and manage multiple profiles. Profile questions can be conveniently accessed and created through the left-hand sidebar under the profile settings section.
If you do not see Profile Settings in the side panel then please contact support, to have the function enabled.
Setting Up Profile Questions
Profile Questions are created in the Profile settings section. This can be accessed via the left hand site navigation bar under the Settings Heading
Questions can be added by clicking on the 'Create New Fields: Select Field Type" Text at the bottom of the page
Clicking on the field will open the box to select the question type you want to use. These are similar to the questions used on your forms. Learn more about question types here
Clicking On the question name text opens a box where you can enter the details of your question
After you have created your questions you can then:
- Add additional information for the user
- Set the question to be required
- Make the answer searchable
- Display in preview i.e on the applicants information tile
- Provide answer options for Multiple choice questions
- See the Question id that can be used with the Smart Builder
- Delete the question
- Change the order of the questions
Enabling Profile questions on your Form
Once you have created your profile questions, you must enable the feature on each form where you require them to be used. To do this, go to the edit form section, then settings, and then the general tab. From there, you just need to scroll down to the Enable User Profiles setting and toggle the switch to on.
When the Applicant creates their profile prior to accessing the form , that information will show on the applicant tile.

Scenario One:
When using the group email function, you can leverage the Smart Builder to access and employ the Profile properties. This allows you to input specific profile information for each recipient, ensuring that the email is tailored and personalised for every individual you are messaging.
Scenario 2:
Using the smart builder during the question creation process in any phase of the form allows you to leverage the provided profile question responses to personalise the inquiries.
