Occasionally a download error can be displayed when exporting an application. What does this mean?
Cause
The applicant has uploaded multiple documents causing the system to time out when aggregating all the information. Example you have requested bank statements, employment records or financial statements but the applicant has provided each page individually as a high res jpg/png
How to fix
Request that your applicant provides each of these already aggregated into single pdf’s when applying e.g a pdf with all bank statements together, a pdf of all employment records, a pdf of all financial reports.
In this way it is easier for the applicant to upload a couple of pdf’s that are easily aggregated by the system as well as easy to organise the requested documents for you, the reviewer.
To facilitate this, you can use either the convert to draft option to send the application back to the applicant and have them re-upload the documents in a manageable way as illustrated above or you can ask the applicant via the messaging system to provide those documents again in PDF form and you can use the edit application button to edit their application to remove the old documents and then add the new PDFs.
How to avoid
When setting up your form you can also request this of your applicants while they're doing their application by providing a full description of what you need from them, requesting they could group all of the relevant documents together within a series of single PDFs. Rather than 30 - 40 plus individual images. By providing a full description of what you need from them in the required documents and the way they can uploaded this will ensure the documents are uploaded correctly, arranged in a more organised way and easier to refer to at the time of application review. This can also be encouraged by limiting the type of file that can be uploaded and the amount of files.
To set these limits you just need to go to your form settings then click the edit button
Within the settings for your question you can enable what files you want uploaded and set a limit on the amount of uploaded files.
